Book your hotel

Step 1: Select your hotel
Once you sellect your hotel on our website please click on 'Book now' button which will lead you to our hotel booking form.

 

Step 2: Complete our form
Please fill all required information on our form. Click on 'Send' button on bottom of the page. If you wish to place another hotel, please complete step 1 and 2 separately.
 

Step 3: Confirm your hotel
Once sending your booking form to us, you will immediately receive our email with details of your booking.
 

We will then process to check your chosen hotel's availability and confirm you the hotel's status within 12 hours except on Saturday and Sunday.

  • If your chosen hotel is available, we will send you an email with all details of promotion ( if any ), booking's details, cost, payment mode and deadlines.
  • If your chosen hotel is NOT available then we will try to suggest an alternative hotel or other solutions for you to consider. 

Step 4: Payment
Once you decide to go ahead with your booking, please submit your payment to us. For online payment, we normally send our secured payment link on step 3 for you in order to save your time on contacting us. We don't require your credit card's details from the beginning as security purpose.

  • We are now accept major credit cards online. However, offline option is also available. Please fill CREDIT CARD PAYMENT FORM then fax to our Hanoi head office.
  • Our cancellation policy will apply once you have submitted your credit cards or other methods of payment.

Step 5: Get your service voucher
Once your payment have been authorised by our bank, we will issue our service voucher by email. Please print them out then presented upon check-in.

Following the same hotel booking steps of 1 & 2.
 

Step 3: Confirm your tour
Once sending your booking form to us, you will immediately receive our email with details of your booking.
 

We will then process to check with all related service's availabilities then confirm your tour booking within 24 hours.

  • If all services are available, we will send you an email with detailing of your services such as hotels, airlines, joining instruction, timing, costing, deadline...etc...
  • If any service is not available, we will try to suggest other alternative options for you to consider.
  • If you choose our customized tour service, we will send our proposal itinerary for your consideration or decision.

Step 4: Payment
Once you have decided to book our tour, we will send you our bank account for wire transfer or secured links for credit card online payment.

  • If your departure is more than 30 days: deposit 20% of total tour's cost or minimum of 100 USD per person is required.
  • If your departure is less than 30 days: full payment is required.
  • Our cancellation policy will apply once you have submitted your credit cards or other methods of payment.

Step 5: Get your service voucher
Once your payment have been authorised by our bank, we will issue our service voucher by email.

Hotel Cancellation & Cancellation Fee
All cancellations must be received in writing, sent to us via fax or email. The following rules apply for cancellations:

If notification of cancellation is received in 14 working days or more prior to arrival:

  • No cancellation charge but US$ 10. 00 plus a credit card processing fee will be applied. 

If notification of cancellation is received between 7-14  working days (not including Sat, Sun & Public Holidays) or more prior to check-in date :

  • Cancellation charge of   10%  rate plus a credit card processing fee will be applied. 

If notification of cancellation is received less than 2-6  working days (not including Sat, Sun & Public Holidays) prior to check-in date:

  • Cancellation charge of   40%  rate plus Bank Fee will be applied. 

If notification of cancellation is received less than 2  working days (not including Sat, Sun & Public Holidays) prior to check-in date:

  • Cancellation charge of   100%  rate. ( full length stay will be charged) 

If cancellation is failed to make, full charge of your booking is applied. 

Tour Cancellation & Cancellation Fee
All cancellations must be received in writing, sent to us via fax or email. The following rules apply for cancellations:

More than thirty (30) days prior to departure:

  • The total deposit paid to us (30% or US$ 100) less the administrative fee in accordance with canceling advanced arrangements, will be valid for one (1) year from the date the deposit was received. During this time (365 days) the amount can be applied to other tours and services. After one (1) year the deposit amount is forfeited.

Less than Thirty (30) days prior to departure:

  • Complete forfeiture of deposit, due to hotel charges we incur for guest no-shows.

Children Policy
Children under 12 years are generally granted a reduction of 30% of the tour price, provided that they are accompanied by at least two full-paying adults and stay in the same room. An extra bed is fully charged as an adult.

Deposit & Payment
Full payment is required & applied to all hotel's bookings.
A deposit of 30% of the tour price per person plus bank charges (credit card/bank transfer processing fees) is required upon confirmation of your booking (If this amount is less than US$100, a US$100 per person deposit will apply). Once a deposit is received it is understood that you have read, understood and accepted all our Terms and Conditions .
The remaining balance of the tour price (70%) is due no later than 30 days of tour departure. Otherwise cancellation rules will apply.

Unused Services
No refunds or exchanges can be made with respect to accommodation, meals, sightseeing tours, transport or any other services, included in the tour price, but not utilized by the tour members.

Travel documents will be compiled after the deposit has been received and are sent two or three weeks prior to departure. These documents will be sent via email, and should be printed out by participants and retained as a receipt.

Responsibility
All possible care is taken to ensure that our suppliers maintain the highest possible standards. However, we are not responsible in any way for problems, however they arise, that result from the booking of services we do not directly control.

Viet Culture Travel, its subsidiaries, affiliated companies, servants or agents shall not be responsible or become liable in contract or tort for any injury, damage, loss, delay to person or property, additional expenses or inconvenience caused directly or indirectly due to any events beyond our control.

Refunds
At Viet Culture Travel, you do not have to pay for anything you do not get as we have commited with you while making your reservation. Morever, any kind of fault services under our control will be refunded to customers. Please do let us know if you are in one or all of cases below:

  • Air - conditioner does not work at all
  • Poor, rude or unrespective tour guides and drivers

Validity
This information is valid at the time of publication but is subject to change without prior notice. However, should any changes occur, they will be posted on the website immediately. However, should the Terms and Conditions change after the deposit is paid, the Terms and Conditions under which the deposit was paid shall apply.
